Procurement Coordinator (Hybrid)

Position Summary
The Part-Time Procurement Coordinator provides administrative and coordination support only for The D5 Group’s public-sector procurement activities. This role supports internal organization, document tracking, and deadline management related to Requests for Proposals (RFPs), Requests for Qualifications (RFQs), and price quotes.
This is a hybrid, part-time support role with no decision-making, negotiating, or representational authority. All final decisions remain with the CEO.
Scope and Limitations of Authority
This role is strictly limited in scope. The Procurement Coordinator:
- Does not exercise independent judgment related to strategy, pricing, or proposal content
- Has no authority to bind, obligate, or commit the company
- Does not negotiate terms or pricing
- Does not submit proposals or responses on behalf of the company
- Does not represent the company in certifications, affidavits, or sworn statements
- Does not communicate with government agencies unless explicitly authorized in writing
- Does not supervise employees or contractors
- Operates under the direct oversight of the CEO, who retains all final authority
Core Administrative Responsibilities
- Track public-sector RFP, RFQ, and quote opportunities identified by leadership
- Maintain internal tracking logs and submission calendars
- Prepare administrative drafts, outlines, and internal checklists for review
- Coordinate collection of standard documents from internal staff and approved freelancers
- Organize electronic and physical procurement files in accordance with company protocols
Compliance Support Responsibilities
- Assist with internal compliance tracking related to submission requirements
- Support formatting and assembly of draft materials as instructed
- Perform data entry for non-substantive compliance forms and checklists
- Maintain records organization to support audit and retention requirements
- Flag missing documents or approaching deadlines to the CEO
Deliverables and Performance Expectations
- Accurate and timely tracking of procurement opportunities and deadlines
- Proper organization and maintenance of files and documentation
- Timely preparation of administrative drafts and checklists
- Strict adherence to authority limits and communication protocols
- Responsiveness within assigned scope and timelines
Required Qualifications
- Experience in administrative support, coordination, or documentation roles
- Familiarity with public-sector procurement processes preferred
- Strong organizational skills and attention to detail
- Clear written communication skills in a support capacity
- Ability to follow structured instructions and defined boundaries
- Ability to attend occasional, pre-approved in-person meetings or assignments
Work Structure and Engagement Terms
- Hybrid, part-time role limited to a maximum of 30 hours per month
- Engagement may be at-will or fixed-term, depending on business needs
- No guaranteed hours
- Work is primarily remote; in-person work is limited and pre-approved
- Schedule varies based on procurement activity and internal needs

Compensation is determined by the terms of the applicable engagement agreement. This position does not guarantee hours, continued engagement, or future employment. The role is limited to non-discretionary administrative support and is structured to comply with applicable labor, wage, and public-sector procurement requirements. The D5 Group reserves the right to modify or discontinue the role in accordance with applicable law.
